Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or vehicle collection. This document outlines the terms, conditions, insurance information, charges, and your responsibilities related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Rental Vehicle Requirements
- To hire a vehicle from Woodford, you must be at least 21 years old, although age restrictions may differ based on vehicle type, and additional fees may apply for drivers under 25. A valid driving license suitable for the vehicle category is required, along with valid identification and proof of your current address. You will also need to provide valid payment information and a security deposit. Please review the Rental Agreement for any further requirements.
Booking and Payments
- Reservations can be made via our website, by phone, or directly at our Dartford office. To confirm your booking, a deposit may be necessary. The remaining balance and a security deposit are usually required at the time of vehicle pickup. All prices are in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, with secure processing through trusted payment partners.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is important to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be prepared and signed by both parties. The vehicle should be returned in the same condition as received, accounting for normal wear and tear. Any new damage will be evaluated and charged appropriately. The vehicle must be returned with the same level of fuel as when collected; refueling charges will apply if the fuel level is lower. If you anticipate returning the vehicle late, please inform us as soon as possible, as late returns may incur extra fees. You will be responsible for any parking tickets, traffic violations, or additional charges accrued during the rental period, along with an administration fee.
5. Coverage and Responsibility
- Basic third-party insurance is included with every vehicle rental from Woodford Car Hire. Full details regarding coverage and excess amounts can be found in the Rental Agreement. Additional insurance options may be available to limit your financial liability, and we encourage you to review these options thoroughly. You will remain liable for damages or losses up to the insurance excess amount unless other coverage is secured. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, irrespective of insurance.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice given. Please consult your booking confirmation or Rental Agreement for the relevant details. Late cancellations or failure to show may incur additional charges.
7. Restricted Activities
Prohibited Vehicle Uses
- The vehicle cannot be used for any unlawful activities. Engaging in racing, rallying, off-roading, or similar risky pursuits is prohibited. Transporting hazardous materials is not allowed. Sub-letting the vehicle or permitting unauthorized drivers is forbidden. Driving under the influence of alcohol or drugs is strictly prohibited. The vehicle must be used for its intended purpose and within established passenger and weight limits. Driving outside the specified geographical boundaries requires prior approval.
Breach of these terms may lead to rental cancellation and extra fees.
Liability Limitations
To the fullest extent allowed under English and Welsh law, Woodford Car Hire will not be responsible for any indirect, incidental, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our maximum liability for any claims will not exceed the rental amount paid in the last 12 months. This limitation does not apply to liability for death or personal injury due to negligence or for fraudulent activities.
Governing Law Overview
These Terms are regulated by the laws of England and Wales. Any disputes will fall under the jurisdiction of the relevant courts in these regions.

Woodford reserves the right to update these Terms at any time. Changes take effect immediately upon posting on our website. Continued use of our services indicates acceptance of the revised Terms.
