Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or when collecting your vehicle. This agreement outlines the specific terms, conditions, insurance provisions, charges, and your obligations for that rental period. In the event of any discrepancy between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Requirements for Vehicle Rental
- To rent a vehicle from Woodford, you must be at least 21 years old, though requirements may differ based on the vehicle type, with extra fees applicable for drivers under 25. You need a valid full driving license appropriate for the vehicle category, held for the duration stated in the Rental Agreement. Valid identification and proof of your current address are required, along with payment details and a security deposit. Any further conditions outlined in the Rental Agreement must also be met.
3. Reservations and Payments
- Reservations can be made via our website, by telephone, or directly at our Dartford office. A deposit may be necessary to confirm your booking. The remaining payment and security deposit are usually required upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT as applicable. We accept major credit and debit cards, ensuring secure processing through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, a thorough inspection is required to identify and report any pre-existing damage. A vehicle condition report will be prepared and must be signed by both parties. The vehicle should be returned in the same condition as it was received, accounting for standard wear and tear. Any new damage will be evaluated and billed accordingly. Please ensure the vehicle is returned with the same fuel level as at collection; refueling charges will apply if the fuel level is lower. Late returns may result in additional fees, so please notify us as soon as possible if you expect to return the vehicle late. You will be responsible for any parking tickets, traffic violations, or other charges incurred during your rental period, along with a related administration fee.
Insurance and Liability Terms
- All rentals include basic third-party insurance. You can find detailed coverage information and excess amounts in your Rental Agreement. Additional insurance options may be available to lower your financial liability. It is important to review these options thoroughly. You remain liable for damage or loss up to the insurance excess, unless you have opted for extra coverage. Any damage resulting from negligence, misuse, or violation of these Terms will be your responsibility, regardless of insurance.
6. Modifications and Cancellations
Cancellation and amendment policies depend on the type of booking and the notice provided. For detailed information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show up may incur additional charges.
7. Restricted Activities
Prohibited vehicle usage:
- Vehicles rented from Woodford are strictly for lawful use only. Prohibited activities include racing, off-roading, or any dangerous driving practices. Transporting hazardous materials is not allowed. Sub-letting the vehicle or permitting unauthorized drivers is prohibited. Driving under the influence of alcohol or drugs is unacceptable. Users must adhere to passenger and weight limits and remain within designated geographical boundaries unless prior authorization is obtained.
Breach of these terms may lead to rental termination and extra fees.
8. Liability Restrictions
To the fullest extent allowed by English and Welsh law, Woodford Car Hire shall not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claims will not exceed the rental amount paid in the previous 12 months. This limitation does not apply to liability for death or personal injury caused by negligence or fraud.

These Terms are governed by the laws of England and Wales. Any disputes will fall under the jurisdiction of the courts in this region.
